What we collect, why we have it, and how to get it back or have it deleted.
The short version
Nothing leaves the studio
When you send us an enquiry it lands in one place: a database on the studio's own server, and an email to the studio so we see it. We do not sell it, share it, advertise from it, or hand it to anyone outside Ghost Orchid.
Reading the site collects almost nothing. The studio counts its own visitors: when a page loads, this server notes which page it was and the date, so the studio can see how many people visit and which pages they read. To count you once rather than on every reload, your IP address and browser are scrambled together with a key that is replaced every day, and only the scrambled result is kept — never the address itself. Once the day's key is gone, nobody can work out who an old visit was. There are no outside analytics, no advertising tags and no third-party scripts on any public page. The fonts are served from this server rather than from anyone else's, so no other company learns that you were here.

What we collect when you write to us
This is everything the consultation form sends us. Only your name, your email address and a description of your idea are required; everything else is there because it helps us answer you properly, and you can leave it blank.
- How to reach you
- Your name
- Your email address
- Your phone number, if you give us one
- About the tattoo
- What you want tattooed, in your own words
- Where on your body it would go, and roughly what size
- The style, and whether you are thinking colour or black and grey
- Whether it would cover existing work
- Planning it
- The budget range you picked
- When you are hoping to come in
- How you heard about the studio
- Sent by your browser, not by you
- The IP address the enquiry came from
- The name and version of your browser
- The date and time it arrived
Both forms also carry one hidden field that you will never see and should never fill in. Automated spam fills it; when it comes back filled, we discard the message without storing it.
Why we keep the technical details
The IP address and browser name are there to keep the forms usable. They let us limit how many enquiries one sender can post in an hour, which is the only thing standing between a small studio and a mailbox full of form spam. We do not use them to build a profile of you, and they are never combined with anything from another site.
Where it goes
Your enquiry is saved to the studio's booking database and emailed to the studio at the same time, so that a message is never sitting unread in a system nobody has opened. The email is sent through the studio's own mail service, and it is addressed to Ghost Orchid and to nobody else. Your email address is set as the reply-to, which is how the reply you get comes back to you directly.
Only the studio can read it. The booking dashboard is password-protected, kept out of search engines, and reachable only by the people who work here.
We do not process payments through this website. If you go on to book, any deposit or payment is taken in the studio, and the card details are handled by the payment provider rather than by us — we never see or store a card number.
Cookies
The public pages of this site set no cookies whatsoever. There is no banner to dismiss because there is nothing to consent to.
The one exception is the staff dashboard, which sets a sign-in cookie for the people who work at the studio. It is set when a member of staff signs in, it holds nothing but their session, and a visitor never encounters it.
How long we keep it
We keep an enquiry for as long as it is useful to the conversation it started — a tattoo is often planned over months, and a piece that gets added to years later is normal here. Nothing is deleted automatically.
That means the practical answer is: until you ask us to delete it, and then straight away. Ask, and we will.
What you can ask us for
Under Canada's Personal Information Protection and Electronic Documents Act you can ask us to do any of the following, and we will not charge you for it or ask why:
- Send you a copy of everything we hold about you.
- Correct anything in it that is wrong.
- Delete it.
- Stop using it — you can withdraw your consent at any point, including part way through planning a piece.
Email hello@ghostorchid.tattoo and say which one you want. If you are not satisfied with how we handle it, you can raise it with the Office of the Privacy Commissioner of Canada.
Age
We tattoo adults only, and the form asks you to confirm you are 18 or older before it will send. We do not knowingly collect information from anyone younger. If you believe a child has sent us something, tell us and we will delete it.
Changes, and how to reach us
If this changes we will change this page and move the date at the top. We will not quietly start doing something with your information that this page says we do not.
